Job Description
Position Overview: We are seeking a highly organized and proactive Executive Assistant to support our CEO. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks in a fast-paced environment. This role is critical in ensuring the efficient operation of the executive office and will serve as a trusted partner to the CEO.

Required: 5+ Supporting a CEO
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements. Additional coordination with CEO Personal Assistant on personal calendar.
- Communication: Act as the primary point of contact for internal and external stakeholders, handling correspondence, to include emails, and facilitating communication on behalf of the CEO.
- Meeting Coordination: Be proactive in follow up on action items from meetings, ensuring timely completion.
- Project Management: Assist with special projects, research, and data analysis as directed by the CEO, ensuring deadlines are met and objectives are achieved.
- Confidentiality: Maintain a high level of discretion and confidentiality regarding sensitive information and business matters.
- Event Planning: Coordinate logistics for meetings, conferences, and special events, ensuring a professional and seamless experience.
- Additional: Keep CEO informed on notable office items in order to present him in a positive light and support his reputation.
Qualifications
- Education: Bachelor’s degree in business administration, Finance, or a related field preferred.
- Experience: Minimum of 5 years of experience supporting Chief Executive Officers, preferably within the financial services or wealth management industry.
- Skills:
- Exceptional organizational and time management skills.
- Strong attention to detail.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle multiple priorities with a calm and positive demeanor.
